Bring your reference data into every workflow

Keep your customers, sites, products, and price lists in a shared Data Table — then let your workflows read from it. Choose one row in a run and Manifestly fills in the rest of that row for you, no retyping.

Stop retyping the same lists into every run

The same customers, locations, and prices get pasted into step after step — and the moment something changes, every stale copy has to be hunted down. Data Tables give that reference data one home your workflows read from.

Without Data Tables
  • Dropdown options hand-typed into each workflow
  • A price change means editing dozens of steps
  • Typos and mismatches slip into reporting
With Data Tables
  • One table, referenced everywhere it's needed
  • Update a row once — every run sees it
  • Consistent values feed clean reports

From spreadsheet to smart workflow in three steps

1

Create your table

Add columns, type in rows, and reorder as you like — or import a CSV, or let AI draft it from a prompt. Share it across the whole account or scope it to one department.

2

Point a field at it

Add a Choose from Data Table field to any step or workflow and pick the column people select from. Its dropdown options now come straight from your table.

3

Run it

A teammate picks one value in the run. Manifestly fills the rest of that row into your other fields and exposes every column as a token for step content, emails, and SMS.

Pick one value, fill the whole row

It's a VLOOKUP built into your run. Choose a single-select Choose from Data Table field as the source and bind other fields to its sibling columns. When someone makes a selection, the linked fields populate automatically — and the fill is recorded in the run's activity for a clean audit trail.

  • Fill text, number, date, email, or URL fields from any column in the chosen row.
  • Set it up from either side — “this field fills…” or “fill this field from…”
  • Bindings survive workflow duplication, JSON export/import, and shared-workflow sync.

Reference any column, anywhere

Every column of the selected row becomes a token. Drop {{Customer}} for the chosen value, or {{Customer.AccountManager}} for a sibling column — in step instructions, customized emails, and SMS messages. Tokens resolve by the stored row, not by matching text, so duplicate names never cross wires. And because the visible value is stored too, selections still drive your existing conditional logic.

Build a table your way

By hand

Add columns, type your rows, and drag to reorder. Each column is a type — text, number, date, yes/no, email, or URL.

Region · Owner · Email
Southeast · Priya Shah · priya@…

Import a CSV

Already have it in a spreadsheet? Upload a CSV — the header row becomes your columns and every line becomes a row.

Generate with AI

Describe the table you need and Manifestly's AI drafts the columns and rows for you — ready to review and refine.

Keep your tables current, automatically

Your products and customers already live in a CRM, an ERP, or a database. Keep a copy in Manifestly and sync it with the source through the v2 API — so your workflows always reference fresh data without anyone retyping a thing.

  • Full CRUD on tables, columns, and rows — push updates on a schedule or the moment the source changes.
  • Drive it from a nightly job, a webhook, or a no-code tool like Zapier.
  • AI agents can look tables up read-only over MCP to ground their work in your real data.

Shared where it helps, controlled where it counts

  • Share a table across your whole account, or scope it to a single department.
  • Account-level tables are read-only to department admins — managed centrally, used everywhere.
  • Manifestly warns on duplicate values in a lookup column so selections stay unambiguous.
  • A table that's still used by a workflow can't be deleted out from under it — you're warned first.

What teams keep in a Data Table

Sales & onboarding

Customer accounts with their owner, tier, and renewal date.

Pick the customer in a run → the owner and renewal fill in, and the kickoff email addresses them by name.

Field service

Sites and locations with address, region, and on-site contact.

Choose the site → the address and contact populate the work-order steps automatically.

Ops & procurement

Products and price lists with SKU, unit price, and vendor.

Select the SKU → price and vendor flow into the request, synced nightly from your ERP.

Data Tables, answered

Data Tables are part of the Manifestly Enterprise plan. See the pricing page or read more about Enterprise.

Text, number, date, yes/no, email, and URL. Auto-fill can populate text, number, date, email, and URL fields from the selected row.

Yes. The v2 API supports full create, update, and delete on tables, columns, and rows, so you can sync from a CRM, ERP, or database on a schedule, via a webhook, or through a tool like Zapier. AI agents can also read tables over MCP.

Yes. The field stores the visible selected value, so your existing conditional rules (“if Region is Southeast…”) keep working exactly as before. The row is tracked behind the scenes so sibling columns resolve reliably as tokens.

Yes. A table can be shared across the whole account or owned by a single department. Account-level tables are read-only to department admins, so shared reference data is managed centrally while teams keep their own tables.

Manifestly warns you and blocks the deletion while any workflow or step field still references the table, so a live run never loses the data it depends on.
